Minutes of the Directors Meeting, Rotary Club of Wanaka, Harcourts Meeting Room, Wanaka, 17th October 2018 at 7.00pm

Matters Arising:
* Inventory in Storage Sheds needs to be updated (Fran Tate)
* Karl Buchanan to report back regarding second Scholarship
* John Huddleston to work with Council and Ian Haynes regarding electricity supply to Rotary Park, Glen Dhu and report back
* Chris Wright to circulate to Directors the final financial outcome of the Jazz Night with details
* Tony O’Regan to locate Club ‘Sandwich Board’
* Deans Hudson to resolve the ERK/Shelter Box issue before payment can be made from the proceeds of the Koru Trio Night

* Pembroke Ladies Club – (ex Probus Club) claim of $243 for combined Probus luncheon from the Probus funds held in trust by Wanaka Rotary. Now that these 3 clubs can have their own bank accounts should this fund be distributed to all clubs to use as they want?

For Directors Approval
1) Ratify the Club and Trust payments as indicated
2) Agree to disburse the remaining Probus Club funds to the 3 current clubs pro rata across the membership basis
3) Approve the payment of $9445 which is the amount of District 9980 recommendation of our Club's annual donation to the Rotary Foundation and the Polio Plus appeal and is based on current membership. (see note below)

Administration:
President George announced that Peter Harridge will be Administration Director henceforth. Welcome Peter.
Foundation: Deans Hudson - Main Points
The Committee to be discussed;
1. Koru Trio – Review of the Koru Trio night and the funds and where we will spend them ie ERK’s or Shelter Box’s .To date Don has sold, with help from others, 110 tickets so it has been a success. Harraways have come to the party with product giveaways which will be given out on the night..
2. Foundation Auction – The directors approved the idea of a quiz night which we hope to do in May next year. Need to pick a date and organise a venue and gather some good auction items that would appeal.
3. International Projects. – no further progress on both the Samoa and the Arusha orphanage. Madaline whi is in Tanaznia only went to Arusha for one day last month and wasn’t able to call on the orphanage but will be going back soon so we should get some questions answered then

Fundraising: Richard Wallace - Main Points
> Rotary Book Sale. The Book Sale is well underway & by the time of our directors meeting will be finished & monies will be counted. Things are looking great & the book quantity & quality is right up there. The team have done an amazing job, THANK YOU.
> Rotary Duck Race. The Executive Duck Sales are ok
> Richard made an impassioned plea for more Rotarians to assist rather than being left to a few stalwarts.

Service Projects: John Huddleston - No Report
Youth and Vocation: Karl Buchanan - Main Points
* MAC Scholarship – Underway currently with applications closing in the coming weeks.
* Science Opportunities – Been in contact with Lincoln Bruce, HOD Science at MAC, regarding Hands On Science at Otago Uni and Innovate Young Minds – a programme targeting girls in Science run by Hutt Rotary - http://iym.co.nz/ . He has distributed info re IYM and checking on participants in the Hands On Science programme.
* Rotary Young Professionals Group – No interest so far in any potential candidates joining the tour group. Been in contact with Wanaka Young Professionals, who were not keen to publicise to members but open to inviting to a gathering to talk to members, or for a project etc. Viv followed up with Chamber of Commerce and Winegrowers Assn.
Discussion required if club keen to host reciprocal visit to the district from Tasmanians in March/April next year.

* District Conference Oamaru 26-28 April - will canvass members at meeting on Tuesday 16 for indication of numbers and preference for accommodation

Club Activities Chris Wright - Main Points
* 30th September
* Evening of Jazz with Trevor Tattesfield.
* 69 tickets sold. 70 meals including band (5) and flower supplies (2) eaten. $58 loss including $1,951 ($1,800 charge, $113 meals, $38 bar tab), $65 for unused license for Peak Function Centre.
* 2nd December
* Not 9th as previously advertised. Christmas Party. Details to be confirmed. Likely to be at the golf club. Game of fun golf followed by meal as per last year’s format. Derek Howarth Organising.
* 19th January
* Gibbston Valley Concert. Supertramp and more. Club reminded to buy tickets. Bus to be driven by John Milburn or Graeme Smart. 12 going so far.
* 16th February?
* Summer 2019. Ken Goldfinch wants to organise a 4x4 rally ending at Ranfurly Pub or in St Bathams. 2 hours away so option to stay or drive home.

* Golden Guitars in Gore. John Milburn investigating accommodation options. (Dropped, accommodation in Gore not available)
* 28th September
* Port Chalmers Seafood festival.
Home hosting / progressive dinner. Date to be confirmed. Pam Brown to organise.
Friday Night social gatherings to start December. Mike Elliot to host 2nd January – Burns Night.
General Business
* John Huddleston requested approval to donate $500 to Life Education Trust for the purchase of the replacement of ‘Harold the Giraffe’ puppet. Approved by Directors
* Deborah Budden – Club Development and Membership:
A discussion paper was included with the Agenda and was circulated as part of Directors Reports.
Mike Elliott and Deborah Budden spoke to the paper.
There was a range of views expressed and it was decided by Directors to continue to assess Club Development on an ongoing basis and that Deborah Budden would take her paper to her Committee.
